1. Who we are and what this policy covers
This store is operated by HALAL SNOVA (SNOVA by Ginza Salon), Meiwa 2-19-33, Yotsukaido-shi, Chiba 284-0043, Japan ("SNOVA", "we", "us"). We are the data controller for personal information collected through this website, our checkout, our email programs, and our customer support.
This policy covers this online store only. It does not cover third-party websites we link to, or in-person services at the Ginza salon.

2. What we collect and where it comes from
We collect the following categories of personal information:
- Identifiers: name, email address, phone number, shipping and billing address.
- Commercial information: orders, order history, refill waitlist status.
- Internet activity: pages viewed, cart contents, device and browser type, IP address.
- Approximate location: inferred from your IP address, for currency and shipping display.
- Preferences: product and communication preferences you tell us about.
We collect this information directly from you (when you order, contact us, or join the refill waitlist), automatically through cookies and similar technologies, and from our service providers such as Shopify, payment processors, and shipping carriers.
We do not knowingly collect health information, and we do not ask about religion. See section 4.
3. Why we use your information
We use personal information for the following purposes, and only for these purposes:
- Processing, shipping, and delivering your order, including preparing the customs declaration required for international shipment (legal basis: performance of a contract).
- Payment processing and fraud screening (legal bases: performance of a contract, and our legitimate interest in preventing fraud).
- Customer support and handling of claims (legal basis: performance of a contract).
- Sending marketing email and refill waitlist updates, where you have opted in (legal basis: consent, which you can withdraw at any time).
- Site analytics and improving the store (legal basis: our legitimate interest in operating and improving the store, or consent where required).
- Keeping tax, accounting, and transaction records (legal basis: legal obligation).
4. Sensitive information and our halal commitment
We do not ask for, and do not want, information about your health, religion, or beliefs.
We recognise that buying a halal-certified product could be used by others to infer religious belief. We commit to the following: we do not use your purchase of our products to infer, profile, or target religious belief in any way, we do not segment our marketing by any religious signal, and we do not upload customer or waitlist lists from this store to advertising platforms for lookalike or custom audience targeting.
5. Who we share information with
We share personal information only with the parties needed to run the store:
- Shopify Inc., which hosts this store and processes data on our behalf under its Data Processing Addendum.
- Shopify Payments and its banking partners, for payment processing.
- Shipping carriers (such as Japan Post, DHL, or FedEx), to deliver your order.
- Customs authorities. International shipping legally requires your name, address, contact details, and a description and value of the goods to be disclosed to carriers and to the customs authority of your destination country. This disclosure is a legal requirement of cross-border shipping and cannot be opted out of.
- Email service providers, to send transactional and (where you opted in) marketing email.
- Professional advisers and authorities, where required by law.
We do not share your information with any party for their own marketing.
6. We do not sell your information
We do not sell personal information, and we do not share it for cross-context behavioural advertising as those terms are defined in US state privacy laws. If we ever add advertising pixels that would change this, we will update this policy on the same day, add a "Do Not Sell or Share My Personal Information" link, and honour opt-outs before any such sharing.
We treat the Global Privacy Control (GPC) browser signal as a valid opt-out request. You can also use the Your Privacy Choices page.
7. Cookies
This store uses cookies and similar technologies:
- Essential cookies set by Shopify for the cart, checkout, security, and your currency selection. These are required for the store to work.
- Analytics cookies that help us understand how the store is used. These are optional.
Visitors in the EU, EEA, UK, and Switzerland are shown a consent banner before optional cookies are set, with equally easy options to accept or reject. You can change your choice at any time through the cookie settings link in the footer.
8. How long we keep information
- Order, invoice, and tax records: 7 years, as required by Japanese tax law.
- Marketing list entries: until you unsubscribe, plus 12 months of suppression records so we do not email you again.
- Analytics data: up to 14 months.
- Customer support correspondence: 3 years after the matter closes.
After these periods, information is deleted or anonymised.
9. International transfers
We are a Japanese company. Your information is collected by us in Japan and hosted by Shopify on infrastructure in the United States and Canada under Shopify's Data Processing Addendum, which incorporates the EU Standard Contractual Clauses.
For customers in the EU and EEA: Japan holds a European Commission adequacy decision (in force since January 2019), and the Supplementary Rules issued by Japan's Personal Information Protection Commission apply to EU-origin data we hold. This means your data receives an EU-recognised level of protection in Japan without further safeguards being required.
Delivery of your order also requires transferring your contact details to the carrier and customs authority in your own country, as described in section 5.
10. Your rights
You can exercise any of the rights below by emailing halal@snova.ne.jp or writing to our postal address in section 1. We will verify your identity using the details on your order, respond within the time limits of the applicable law, and never charge for a first request. You may use an authorised agent where your local law allows one.
If you are in the EU, EEA, or UK, you have the right to access, correct, and delete your personal data, to restrict or object to its processing (including objecting to direct marketing at any time), to data portability, to withdraw consent at any time, and to complain to your supervisory authority or the UK Information Commissioner's Office.
If you are in the United States, depending on your state, you have the right to know and access the personal information we hold, to correct or delete it, to opt out of sale, sharing, or targeted advertising (we do none of these today), to limit use of sensitive personal information, and not to be discriminated against for exercising these rights. If we decline a request, you may appeal by replying to our decision email with the word "Appeal", and we will have the appeal reviewed by a person not involved in the original decision.
If you are in Japan, you may request disclosure, correction, or cessation of use of your retained personal data under the Act on the Protection of Personal Information. Our complaint contact for APPI matters is halal@snova.ne.jp, and you may also contact the Personal Information Protection Commission.
Everywhere else, we apply the same standards on request as a matter of policy.
11. Marketing email and the refill waitlist
We send marketing email only if you opt in through an unticked checkbox or a signup form. Consent is never a condition of purchase. Every marketing email includes a working unsubscribe link, honoured promptly, and our postal address.
Refill waitlist notice. Our "pre-enroll for 15% off future refills" option is a free email waitlist. Joining it gives us your email address and your interest in refills, and in exchange you receive a 15% discount offer when refills launch. No payment method is collected, nothing is charged, and no subscription is created. We estimate the value of the information you provide as equal to the discount offered. You can leave the waitlist at any time using the unsubscribe link in any waitlist email, or by contacting us, with no effect on any order.
12. Payments, security, and breaches
Card payments are processed by Shopify Payments under PCI DSS. We never see or store your full card number; we receive only the card brand, the last four digits, and the billing address. Paying in your local currency does not change who processes your payment.
The store runs over TLS encryption on Shopify's PCI-certified infrastructure. Access to customer data within our team is limited and protected by two-factor authentication. As noted in section 9, data is stored on servers located outside Japan.
If a data breach affects your personal information, we will notify you and the relevant regulator without undue delay, as required by Japanese and applicable foreign law.
13. Children and automated decisions
This store is not directed to anyone under 16, and we do not knowingly collect personal information from anyone under 16.
We do not make any decision about you that has legal or similarly significant effects by automated means alone.
14. Complaints, changes, and contact
If you have a concern about how we handle your information, contact us first at halal@snova.ne.jp and we will try to resolve it. You can also complain to Japan's Personal Information Protection Commission, your EU supervisory authority, the UK Information Commissioner's Office, or your state Attorney General, depending on where you live.
If we change this policy in a material way, we will post a notice on the store and, where we hold your email for marketing, tell you by email. Non-material changes take effect when posted here.
